This Privacy Policy describes how The Wheel ("we," "us," or "our") collects, uses, and protects information when you use our financial reconciliation platform ("the Service"). By using the Service, you agree to the practices described in this policy.
Account information. When you or your organization is onboarded to the Service, we collect your name, email address, and organizational details necessary to create and manage your account.
Financial data. The Service connects to third-party financial platforms (including QuickBooks Online and bank accounts via Teller) on your behalf and imports financial records including payments, invoices, bank transactions, and entity records. This data is stored in your tenant's canonical data hub and is used solely to provide the reconciliation service.
Authentication credentials. OAuth tokens (for QuickBooks Online) and bank enrollment tokens (for Teller) are encrypted at rest using industry-standard encryption and are never exposed in plaintext. We do not store your QuickBooks or banking passwords.
Usage data. We collect logs of sync runs, reconciliation runs, and system events for operational monitoring, debugging, and service improvement. These logs are tenant-scoped and not shared across accounts.
We do not use your financial data to train machine learning models, sell to data brokers, or for any purpose beyond providing the Service to you.
The Service is a multi-tenant platform. Each client's data is logically isolated by a tenant identifier and is never accessible to other clients. Row-level security policies enforce this isolation at the database level. Employees and contractors with administrative access to the platform are bound by confidentiality obligations and access only tenant data for legitimate support and operational purposes.

We do not integrate advertising networks, analytics trackers, or social media platforms into the Service.
We retain your data for the duration of your active engagement with the Service. Upon termination of your account, we will delete or anonymize your data within 90 days, except where retention is required by applicable law or for legitimate operational purposes such as dispute resolution.
We implement technical and organizational measures to protect your data, including encryption of sensitive credentials at rest, HTTPS for all data in transit, and access controls limiting data access to authorized personnel. No security measure is perfect, and we cannot guarantee absolute security. We will notify you promptly in the event of a data breach affecting your information.

The Service is intended for business use by adults. We do not knowingly collect information from individuals under the age of 18. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.
We may update this Privacy Policy periodically. We will post the revised policy at this URL with an updated effective date. Continued use of the Service after changes are posted constitutes acceptance of the updated policy. For material changes, we will provide additional notice where feasible.
